You may not find your name in the official race results due to the following circumstances.
This is a letter submitted by Adevents to LS Cares dated August 13, 2008.
Dear Team,
Today, I submit the last report required of me to close OROFOLS. Based on the master list provided me by the De La Salle Alumni Association two weeks after July 13, I found said list insufficient and erroneous.
1. The master list had multiple postings.
(a) One person, assigned with two race numbers.
(b) One race number, assigned to two persons.
2. Missing entries. Some early birds were not encoded.
3. Wrong distance. Some runners who changed distances with approval of registration centers showed no record.
4. Unaccounted race numbers. Atleast 400 race numbers either not encoded or missing.
5. Registered runners with bibs declared as not to have race numbers. In one of the folders of the master list, under the title “No bibs,” several registrants with c/o Maryanne did not have numbers. I do not accept this, as they all have recorded numbers.
Based on our post mortem meeting held July 21, I submitted my report declaring that there was a SYSTEM FAILURE with regards the results processing.
“… There were two methods used in the processing. One is manual, and the other automated. Adevents had four (4) laptops on race day and two (2) printers. The software that will process all winners, and capture finish time of all participants were not utilized. Adevents was capable of providing print outs to be used especially by the emcee during awarding. All equipment ended useless. Non-compliance of submission of encoded master list resulted to many and uncontrollable problems. All back-up plans failed. In the absence of a master list, manual processing can still be done if the following were provided.
a. Race tags. Most tags were blank. This served useless. Second option,
b. Hard copy of registration forms, properly filed. Some forms were blank as well. Useless.
Absence of the master list will further result to delay or non-posting of final official results.
Age category winners and other special awardees were not processed simply because there was no master list.
More people were re-deployed to the finish area to help control volume of incoming runners and sort according to finish.”
I personally followed-up the master list, but was told early morning of July 13 that encoding was still on-going.
There was not only a failure in the encoding, but the registration process as well. Several registration centers especially Olympic Village outlets and some LS schools did not follow registration mechanics as provided by Adevents. Records showed that registration fees were collected, but no proper recording done. As I have reiterated several times, “GARBAGE IN, GARBAGE OUT.”
Now, given these conditions, I have attached the results of the OROFOLS. Please note that there were many participants that finished the race which were not encoded in the master list. These are the ones that appear with the #NA.
This is the best that can be done. For all other missing information, I do not falsify records. ......
